Why you received this notice

You are receiving this notice because we contacted you, or may contact you, by email about our academic journals. This page explains what personal data we hold about you, why we hold it, and how you can object or ask us to stop.

Who we are

These communications are sent by Advances.in LTD (“we”, “us”, “our”), using our outreach domain advancesin.org. Advances.in LTD is the data controller responsible for your personal data. We are registered in England and Wales under company number 14114105, with our registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. Our publishing activities and journals are at advances.in.

How we obtained your details

We obtained your contact details from publicly available professional sources, such as institutional and faculty web pages, published articles and their corresponding-author details, and public researcher directories and profiles. We did not obtain them from you directly.

What data we hold

We hold a limited set of data: your name, your professional email address, your institutional affiliation, and the research field, topics or publications that indicate your work may be relevant to our journals.

Why we use it, and our legal basis

We use this data to contact you about our journals, calls for papers, relevant special issues, and opportunities to contribute as an author, editor or reviewer. Our legal basis is our legitimate interests, namely identifying and informing researchers whose published work and stated interests are relevant to our journals. We have weighed those interests against your interests, rights and freedoms, and you can object at any time (see below).

Who has access

To send and manage these communications we rely on a small number of service providers acting as our processors on our instructions: Saleshandy, our email outreach platform, and Google Workspace, our email provider. We do not sell your data, and we do not share it for anyone else’s marketing. Some of this processing takes place outside the UK and EEA, including in India (Saleshandy) and the United States (Google). Where it does, the transfer is protected by appropriate safeguards, such as the UK International Data Transfer Agreement, standard contractual clauses, or, for providers covered by it, the UK extension to the EU-US Data Privacy Framework.

How long we keep it

We keep this data only for as long as it remains relevant to our outreach. If you object, ask us to stop, or unsubscribe, we will stop contacting you. To honour that, we keep the minimum necessary record, your email address, on an unsubscribe list so that we do not contact you again, unless you ask us to erase it entirely.

Your rights

You have the right to access, rectify, erase, restrict or port your data, and to object to our processing. You have an absolute right to object to direct marketing, and if you exercise it we will stop. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.

How to opt out

Every email we send includes an unsubscribe link. You can also object, or exercise any of your other rights, by emailing info@advances.in. Our Data Protection Officer is Karolina Sowa, reachable at the same address.
